Guidance on working with our Contact Relationship Manager (CRM)

 

Our CRM is based on the open source and freely available EspoCRM. It is available at espo.mdmen.org or the CRM menu link at the bottom of the page at carroll.mdmen.org

It is self-hosted/managed at host.mdmen.org by Scott Marsh of MD Ministry to Men.

 

The CRM contains faith/spiritual/church/ministry related contact/activity records for MD based entities.

 

Each organization is cross-referenced to the individuals associated with it. Each individual is cross-referenced back to their organization where applicable.

 

The CRM’s primary value lies in its ability to capture and organise all relevant contact information. There are many opportunities for improvement so please improve it where you can by completing blank fields.

 

The system acts as an email client, linking emails sent to contacts to the individual contact records. This provides a record of interaction from any number of CRM users that may have access to those records.

 

Users should set up their personal email as IMAP. This allows emails to be available to the CRM but not affect any other email systems already set up.

 

Current active users as of March 2026 are as follows. New users are setup by invitation.

Current Goals:

 

  1. Complete empty fields where ever we find them. Most information can be located online or local publications.

 

  1. Add new records whenever you can. Especially potential Partners and Sponsors for our Annual Prayer Breakfast. Don’t forget postal addresses! We need them for mailing. Email and phone # are equally important.

 

  1. Complete website form integration so new form entries are automatically created as new contacts in the CRM.

 

  1. Use the Sponsor/Partner records to make better personal connections. This matters in fund raising!! We will rely on postal mail, e-mail and social media. Mass email can also be used from within the Espo system. Personal contact is often useful in message reinforcment.

 

  1. Use the CRM whenever you can. Learning is best accomplished by doing! Just let Scott know of any problems or questions you might have.
